Terms of Service

1. Acceptance of Terms

By accessing or using HeyMeet.AI ("the Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not use the Service. We reserve the right to modify these Terms at any time. Continued use of the Service after modifications constitutes acceptance of the revised Terms.

2. Description of Service

HeyMeet is a macOS desktop application that provides real-time audio transcription and AI-powered meeting assistance. The Service includes the desktop application, web dashboard, API, and any related services. Features, pricing, and availability may change at any time without prior notice.

3. Eligibility

You must be at least 16 years old to use the Service. By creating an account, you represent and warrant that you meet this age requirement and have the legal capacity to enter into these Terms.

4. Account Registration

  • You must provide accurate and complete information when creating an account
  • You are responsible for maintaining the confidentiality of your account credentials
  • You are responsible for all activities that occur under your account
  • You must notify us immediately of any unauthorized use of your account
  • We reserve the right to suspend or terminate accounts at our sole discretion

5. Subscription Plans and Billing

5.1 Free Plan

All users receive access to a free plan with limited usage. The free plan includes a set number of transcription minutes and AI requests per month as described on the pricing page. Free plan accounts are limited to one per user and one per device. We reserve the right to restrict free plan access to prevent abuse.

5.2 Paid Subscriptions

Paid subscriptions are billed on a recurring basis (monthly or as specified at the time of purchase). By subscribing, you authorize recurring charges to your payment method. Subscription fees are non-refundable except as described in Section 6.

5.3 Payment Processing

All payments are processed by Paddle (Paddle.com Market Limited), which acts as our Merchant of Record. Paddle handles all billing, invoicing, tax calculations (including VAT/sales tax), and payment processing. By making a purchase, you also agree to Paddle's Terms of Use.

5.4 Price Changes

We reserve the right to change subscription prices at any time. Price changes for existing subscriptions will take effect at the start of the next billing cycle after reasonable notice.

6. Refund Policy

Refund requests are handled through Paddle, our payment provider. You may request a refund within 14 days of purchase if you are unsatisfied with the Service. After 14 days, refunds are handled in accordance with Paddle's buyer terms. To request a refund, contact us at the email address provided below. The free plan is not subject to refunds.

7. Acceptable Use

You agree NOT to use the Service to:

  • Violate any applicable local, state, national, or international law or regulation
  • Record or transcribe conversations without the consent of all parties where required by law
  • Engage in any activity that constitutes fraud, identity theft, or impersonation
  • Interfere with or disrupt the Service, servers, or networks
  • Attempt to gain unauthorized access to the Service or other users' accounts
  • Reverse engineer, decompile, disassemble, or attempt to derive the source code of the Service
  • Use the Service for any illegal, harmful, or unethical purpose
  • Resell, sublicense, or redistribute the Service without our written consent
  • Use automated means (bots, scrapers) to access the Service beyond normal use
  • Circumvent or attempt to circumvent usage limits, trial restrictions, or access controls

Recording consent laws vary by jurisdiction. You are solely responsible for ensuring that your use of the Service complies with all applicable laws regarding recording, transcription, and monitoring of conversations in your jurisdiction. We are not responsible for any legal consequences arising from your use of the Service.

9. Intellectual Property

The Service, including its design, code, logos, documentation, and all associated intellectual property, is owned by HeyMeet.AI and is protected by copyright, trademark, and other intellectual property laws. You are granted a limited, non-exclusive, non-transferable, revocable license to use the Service for its intended purpose in accordance with these Terms.

You retain ownership of any data you input into the Service (including transcriptions generated from your meetings). We claim no ownership over your content.

10. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT.

We do not warrant that:

  • The Service will be uninterrupted, timely, secure, or error-free
  • AI-generated suggestions, transcriptions, or responses will be accurate, complete, or appropriate
  • The Service will meet your specific requirements or expectations
  • Any defects in the Service will be corrected

AI-generated content is provided for informational purposes only and should not be relied upon as professional, legal, medical, financial, or other advice. You are solely responsible for evaluating and using any information or suggestions provided by the Service.

11. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL AI MEETING COPILOT, ITS OWNERS, OFFICERS, EMPLOYEES, AGENTS, OR AFFILIATES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:

  • Loss of profits, revenue, data, or business opportunities
  • Damages arising from reliance on AI-generated content
  • Damages arising from unauthorized access to your account
  • Damages arising from interruption or loss of service
  • Damages resulting from any third-party services or integrations
  • Any legal consequences arising from recording or transcribing conversations

OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING FROM OR RELATED TO THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR $100 USD, WHICHEVER IS GREATER.

12. Indemnification

You agree to indemnify, defend, and hold harmless HeyMeet.AI and its owners, officers, employees, agents, and affiliates from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable attorneys' fees) arising from:

  • Your use of the Service
  • Your violation of these Terms
  • Your violation of any applicable law or regulation
  • Your violation of any third party's rights, including recording consent laws
  • Any content or data you transmit through the Service

13. Termination

We reserve the right to suspend or terminate your access to the Service at any time, with or without cause, with or without notice. Upon termination:

  • Your right to use the Service immediately ceases
  • We may delete your account data in accordance with our Privacy Policy
  • No refund will be issued for the remaining period of a paid subscription, unless required by applicable law
  • Sections 9-12 and 14-16 survive termination

14. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted service. The Service may be temporarily unavailable due to maintenance, updates, server failures, or circumstances beyond our control. We are not liable for any loss or damage resulting from service interruptions.

15. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which the Service operator is located, without regard to conflict of law provisions. Any disputes arising from these Terms or the Service shall be resolved through binding arbitration, except where prohibited by law. You agree to waive any right to a jury trial or to participate in a class action lawsuit.

16. General Provisions

  • Entire Agreement: These Terms, together with the Privacy Policy, constitute the entire agreement between you and HeyMeet.AI.
  • Severability: If any provision is found to be unenforceable, the remaining provisions remain in full force and effect.
  • Waiver: Failure to enforce any right or provision does not constitute a waiver of that right.
  • Assignment: You may not assign your rights or obligations under these Terms. We may assign our rights without restriction.
  • Force Majeure: We are not liable for failures or delays caused by events beyond our reasonable control.

17. Marketing Communications

During registration, you may opt in to receive marketing communications from us. This consent is voluntary and does not affect your access to or use of the Service.

You may withdraw your marketing consent at any time through your account settings or by clicking the unsubscribe link in any marketing email. Withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.
